The ₹3,000/Month AI Stack: What a Small Indian Business Actually Needs to Get Started

Most small Indian businesses are already spending money on AI — they just don't know it yet.

WhatsApp Business is free, but the time you spend manually answering the same five questions every day isn't. Canva's free tier is technically free, but you've probably hit its limits and started paying. And the accountant who manually reconciles your GST data every month — that's a cost too, just one that doesn't show up on a software invoice.

The more useful question is what a lean AI stack actually costs — and what it replaces.

Here's what a lean AI stack looks like for a small Indian business in 2026, built around a ₹3,000/month ceiling.


First, what this stack is actually trying to do

The stack below is built around three places where time disappears in most small Indian businesses: communication, content, and operations. It doesn't try to do everything.

The core: A general-purpose AI assistant (₹1,700–₹2,000/month)

This is your biggest spend, and it earns it. ChatGPT Plus costs approximately ₹1,700/month. Gemini Advanced and Claude Pro are in a similar range.

What you actually get for that: the ability to draft emails in the tone you specify, write product descriptions from bullet points you give it, summarise long documents, create social media posts from a voice note transcript, and answer questions about your own business if you paste in the relevant information.

The honest limitation: none of these tools know your business by default. You have to tell them, every session, unless you use the custom instructions feature (ChatGPT) or a Projects feature (Claude). Set that up once. Put your business name, what you sell, who your customers are, and the tone you want. After that, every output comes out calibrated.

According to Gravitas India's 2026 guide, ChatGPT and Gemini are among the most recommended general-purpose tools for small businesses in India, specifically for their document drafting, summarisation, and multilingual capabilities — including Hindi and regional language support. If your customer base reads Marathi or Gujarati and you can now draft WhatsApp messages in those languages without hiring a translator, that changes the economics of reaching them.

Content and design: Canva Pro (₹500–₹700/month)

Canva Pro for individuals is approximately ₹500/month in India. The AI features built into it — background remover, Magic Write for short copy, and the AI image generator — mean you're not just getting templates. You're getting a design tool that can take a photograph of your product and strip the background in two clicks, then drop it onto a professional-looking promotional graphic.

The workflow: shoot your product on your phone. Open Canva. Remove background. Apply a template from your brand kit. Add a line of copy you drafted in ChatGPT. Export. This is a single workflow, not a multi-step production.

Canva Pro also includes a Brand Kit, which is underused. Set your logo, your two brand colours, and your fonts once. Every new design starts from that base. Consistency across your Instagram, WhatsApp catalogue, and print materials without having to remember which shade of orange is yours.

Communication and CRM: Zoho CRM Free Tier + WhatsApp Business (₹0)

Zoho's free tier accommodates up to three users and includes basic contact management, lead tracking, and follow-up reminders. According to Varshnet's 2026 guide on AI tools for Indian SMEs, Zoho CRM is specifically cited for its relevance to the Indian market, including GST-related workflows and regional language support in higher tiers.

The free tier won't give you AI features. What it gives you is structure: a place where every customer inquiry, lead, and follow-up lives, so you're not running your business out of a WhatsApp chat that scrolls into chaos. That structure is the prerequisite for AI to work well. Without that structure, AI outputs float free — no record of who was followed up, when, or what was said.

WhatsApp Business (free) has a catalogue feature and quick-reply templates. Use those. They aren't AI, but they're your front-line communication channel and setting up five saved replies to your most common questions reduces the time spent on the same five replies each day.

The honest reckoning

A ₹3,000/month stack — one paid AI assistant, Canva Pro, and Zoho free — covers communication drafting, content creation, and basic operational structure. It does not do automated accounting (you'd need something like Zoho Books or Vyapar for that, at additional cost). It does not automate your WhatsApp at scale. It does not do customer service automation. Those are real gaps that require real investment beyond this number.

If drafting a follow-up WhatsApp takes 20 minutes and you send ten a week, that's three hours — owner hours — that go to something a trained prompt can handle in two.


Try this in the next 10 minutes

Open ChatGPT (free tier works for this). In the message box, write: "I run a [describe your business] in [your city]. My customers are [describe them]. Write me three WhatsApp messages I can send to follow up with someone who inquired about my product but hasn't replied in three days. Keep it polite, not pushy, and in a conversational tone."

Read what comes back. Adjust the prompt once if the tone is off. Save the version you like as a WhatsApp quick reply. The next time you need it, it's already there.

The stack is for removing the tasks that slow everything else down, not for changing how the business runs.
